This Recruitment Privacy Notice explains how CGO Media collects, uses, stores and protects personal information relating to job applicants, prospective candidates, freelancers, contractors, consultants and members of the CGO Media Talent and Specialist Partner Networks.

CGO Media respects the privacy of people who apply to work with us or provide their details for potential future employment, contract, freelance, consultancy or specialist partner opportunities.

3. Information We May Collect
The information collected will depend on the nature of your relationship with CGO Media and the opportunity for which you are being considered. It may include:

- LinkedIn profile and professional website;
- portfolio information and examples of previous work;
- employment and professional history;
- education, qualifications and professional certifications;
- areas of expertise and specialist skills;
- technical, software, search, data and AI-platform experience;
- sector and industry experience;
- availability and notice period;
- preferred employment or engagement type;
- remote, hybrid or location preferences;
- salary expectations or contract/day-rate information where supplied;
- information relating to eligibility or right to work where relevant;
- answers supplied through application or Talent Network forms;
- communications with CGO Media concerning recruitment;
- interview notes and recruitment assessments;
- references where requested at an appropriate stage; and

4. How We Obtain Recruitment Information
We may obtain information directly from you when you submit a CV, complete a recruitment or Talent Network form, contact CGO Media, participate in an interview or otherwise communicate with us.
Where appropriate and lawful, professional information may also be obtained from publicly available professional sources, recruitment platforms, professional networking services, referees or recruitment providers.
5. Why We Use Recruitment Information
We may process relevant personal information for purposes including:
- receiving and managing applications;
- assessing experience, expertise and suitability;
- communicating with candidates;
- arranging and conducting interviews;
- comparing candidates against relevant role requirements;
- checking availability and working preferences;
- managing recruitment records;
- considering candidates for suitable current opportunities;
- considering Talent Network members for relevant future opportunities;
- identifying potential freelancers, contractors, consultants and specialist partners;
- obtaining references where appropriate;
- preparing an offer or proposed engagement;
- meeting applicable legal and regulatory requirements; and
- establishing, exercising or defending legal rights where necessary.
6. Our Legal Bases for Processing
The legal basis used for processing will depend on the circumstances. CGO Media may process recruitment information where processing is necessary to take steps at your request before entering into an employment or other contractual relationship.
We may also process information where necessary for our legitimate interests in recruiting appropriate people, operating our recruitment processes, maintaining appropriate business records and identifying specialist resources for future business requirements, provided those interests are not overridden by your rights and interests.
Certain information may be processed where necessary to comply with a legal obligation.
Where consent is the appropriate legal basis for a particular activity, we will request it separately and you may withdraw that consent, subject to applicable law.
7. Current Applications and the CGO Media Talent Network
Applying for a specific opportunity and joining the CGO Media Talent Network are not necessarily the same thing.
Information supplied in connection with a specific vacancy may be used to assess and administer that application.
Joining the CGO Media Talent Network allows us to retain relevant professional information so that we can consider contacting you about suitable future employment, contract, freelance, consultancy or project opportunities.
Where appropriate, candidates will be given a separate choice concerning participation in the Talent Network rather than future-opportunity retention being automatically treated as a condition of applying for a particular role.
8. Specialist Partner Network
CGO Media may maintain information about independent consultants, freelancers, contractors, specialist agencies and other professional partners that may be suitable for future projects.
Information may include specialist capabilities, geographic coverage, availability, rates, portfolio information, professional experience and other information relevant to assessing potential project suitability.
9. Special Category and Sensitive Information
We do not ask candidates to provide unnecessary sensitive personal information as part of an initial application or Talent Network registration.
If special category information is processed during recruitment, it will only be processed where an appropriate legal condition applies and where the information is relevant to the recruitment or employment process.
Please avoid including unnecessary sensitive personal information in your CV, portfolio or introductory material.
10. Who May Access Your Information?
Recruitment information may be accessed by appropriate people involved in recruitment, business operations, management or the relevant specialist team where access is reasonably necessary.
Information may also be processed by service providers that support activities such as website hosting, email, recruitment administration, cloud storage, communications, security or business systems.
Service providers are expected to process personal information only as permitted by applicable contractual and legal requirements.
11. International Candidates and Data Transfers
CGO Media welcomes applications and specialist registrations from individuals in the UK and internationally.
Some technology or service providers used in recruitment or business operations may process information outside the United Kingdom. Where applicable data protection law requires safeguards for an international transfer, appropriate measures will be used.
12. How Long We Keep Recruitment Information
CGO Media does not intend to retain recruitment information indefinitely. Retention will depend on the purpose for which the information was collected and any relevant legal, operational or contractual requirements.
Information relating to an unsuccessful application may be retained for an appropriate period after the recruitment process has ended where reasonably necessary for recruitment administration, record keeping or legal purposes.
Talent Network Retention
Where you choose to participate in the CGO Media Talent Network, we currently intend to retain your Talent Network profile for up to 24 months from your most recent meaningful interaction with CGO Media, unless there is a lawful reason to retain particular information for longer.
We may invite Talent Network members to update or reconfirm their information. A meaningful interaction may include updating your profile, applying for an opportunity, responding to a recruitment communication or otherwise engaging with CGO Media about potential work.
You may ask us to remove you from the Talent Network at any time, subject to any information we are required or permitted to retain for separate legal purposes.
13. Automated Decision-Making and AI
CGO Media may use technology to organise, search, classify or assist in reviewing recruitment information as the Talent Network grows.
We do not intend to make significant recruitment decisions solely by automated means without appropriate human involvement where applicable data protection law restricts such decision-making.
Technology may, for example, help identify candidates whose recorded skills, experience, location, availability or specialist expertise match particular requirements. Final recruitment and engagement decisions should involve appropriate human assessment.
14. Keeping Your Information Secure
CGO Media takes reasonable technical and organisational measures intended to protect recruitment information against unauthorised access, loss, misuse, alteration or disclosure.
Access to recruitment information should be limited to people and service providers who reasonably require it for legitimate recruitment or business purposes.
15. Your Data Protection Rights
Depending on the circumstances and applicable law, you may have rights concerning your personal information, including rights to:
- request access to personal information held about you;
- request correction of inaccurate or incomplete information;
- request deletion of information in certain circumstances;
- request restriction of processing in certain circumstances;

Candidates and Talent Network members are encouraged to tell us when important professional information changes, particularly their availability, location, contact details, specialist expertise or preferred type of engagement.
Maintaining accurate information helps CGO Media identify opportunities that are genuinely relevant.
17. Your Right to Complain
If you have concerns about how your personal information is handled, please contact CGO Media first so that we have an opportunity to address the issue.
Individuals in the United Kingdom also have the right to complain to the Information Commissioner's Office (ICO), the UK's data protection supervisory authority. Further information is available from the Information Commissioner's Office.
18. Changes to This Recruitment Privacy Notice
CGO Media may update this notice as our recruitment processes, Talent Network, technology, service providers or legal requirements develop.
The latest version will be published on the CGO Media website together with the date on which it was last updated.
